JOB SUMMARY: Continuously exemplifies the Greenwood Communities and Resorts (GCR) mission, values and customer service philosophy of GCR in job performance and in relationships to others.  This position is responsible for assisting management of the operation of commercial real estate properties in Shelter Cove and Palmetto Dunes, including lease administration, accounts receivables and payables, property maintenance, contract administration and other related functions.

ESSENTIAL JOB FUNCTIONS:

  • Assist commercial property manager in:

o             Ensuring the efficient operation and maximum profitability of the properties by controlling operational costs and maximizing revenues, while maintaining the property in a highly marketable condition;

o             Managing third party vendors;

o             Providing overall management, supervision and leadership to ensure proper functioning of building operations, including building systems, security, janitorial, mechanical, landscaping and parking;

o             Overseeing and managing the overall administration and accounting functions associated to property management, such as: accounts payable, accounts receivable, rent rolls, lease administration, certificates of insurance, HVAC system maintenance, etc;

o             Reviewing, maintaining and administering lease contracts to ensure tenant obligations to owner are enforced and owner obligations to tenants are met;

o             Coordinating and supervising all tenant move-in and move-out activity, as well as ensure tenant compliance with improvements per lease terms;

o             Ensuring timely execution of commercial/retail lease assignments, lease renewals and lease amendments;

o             Present land-use, site development and construction applications to permitting authorities;

o             Hire and negotiate contracts with engineers, architects, vendors and construction trades; 

o             Obtain necessary permits and licenses;

o             Maintaining:

             property and lease files properly and keep updated in accordance with company policy;

             a master worksheet containing lease information (square footage, base rent, CAM fees, percentage rent, etc.) on all commercial lease property spaces;

             a master worksheet containing gross sales from sales tax reports and computations for percentage sales due from Tenants where applicable.

  • Demonstrate initiative in recognizing needs of the building and tenants.
  • Provide quality and timely customer service to property tenants.
  • Respond in a timely manner to all commercial/retail tenant and maintenance issues.
  • Perform routine site and tenant space inspections and ensure compliance with lease and proper upkeep as well as for maintenance needs, safety hazards, tenant abuse of common areas, landscape needs, curb appeal, signage, etc.
  • Ensure vacant spaces are properly maintained.
  • Establish and maintain a close working relationship with the regime management companies as well as community managers for Shelter Cove Harbour Company and Palmetto Dunes.
  • Establish and maintain a working relationship with the applicable Town of Hilton Head personnel.
  • Assist in coordination with marketing team on special events (HarbourFest, Parrot Palooza, Taste on the Harbour, etc.), as well as advertising and other promotions to enhance business to the harbor and Palmetto Dunes restaurants and retail properties.
  • Complete Palmetto Dunes projects on time and within approved budgets.

GENERAL QUALIFICATIONS: EXPERIENCE, KNOWLEDGE, SKILLS:

  • Thorough understanding of finance/accounting principles with strong financial analysis skills.
  • Solid computer proficiency including Excel and Word.
  • Mechanical aptitude to understand building and mechanical operations for troubleshooting.
  • Strong communication and interpersonal skills.
  • Ability to multi-task and work independently with a keen eye for detail, staying focused and meeting deadlines.
  • Critical thinking ability.
  • Excellent written and verbal communication skills.

EDUCATION/LICENSURE/CERTIFICATIONS:

Assistant manager must have a Bachelor's Degree from an accredited college or university.

Professional credentials in planning, engineering and/or construction management are preferred.
